Who we are

The International Concours of Speed (“ICOS”, “the association”, “we”) is a non-profit association (Verein) constituted under Articles 60 et seq. of the Swiss Civil Code (ZGB), with registered seat in Lucerne, Switzerland. The association organises an invitation-only automotive gathering on Lake Lucerne.

This notice explains how the association, acting as data controller, handles personal information collected through this website and through our correspondence with members, guests, owners, press and partners.

Information we collect

We collect only what is necessary to operate the association and its event:

  • Membership details where you join the association (name, contact details, membership category).
  • Contact details you provide via our invitation, nomination, partnership, press or general contact forms.
  • Car and ownership information submitted for selection or display.
  • Press-accreditation details and credentials for journalists and photographers.
  • Technical data automatically generated when you visit the site (see our Cookie Notice).

How we use it

To administer the association and its membership, review applications, manage invitations, coordinate logistics, communicate event information, and meet our legal, statutory and accounting obligations. We do not sell personal information and we do not use it for unrelated advertising.

Legal basis

We process personal information under the Swiss Federal Act on Data Protection (revFADP) and, where applicable, the EU General Data Protection Regulation (GDPR). Our lawful bases are your consent, the performance of the membership relationship or pre-contractual steps at your request, the legitimate interests of the association in operating its activities, and compliance with legal obligations applicable to Swiss associations.

Retention

We keep personal information only for as long as needed for the purpose it was collected, and thereafter in accordance with applicable Swiss retention requirements (in particular ten years for accounting records under the Swiss Code of Obligations). {{ TODO: real content - specific retention periods }}

Sharing

Within the association, personal information is accessible to the Board and to members of working committees on a need-to-know basis. Your rights

You may request access to, correction or deletion of your personal information, object to or restrict certain processing, and lodge a complaint with the competent supervisory authority. In Switzerland this is the Federal Data Protection and Information Commissioner (FDPIC, EDÖB).
